Job Description
JOB TITLE: School Bookkeeper
SUPERVISOR: Principal and Chief Financial Officer
EXEMPT STATUS: Non-Exempt
WORK YEAR: Up to 220 Days
BASIC FUNCTION: Perform routine clerical accounting duties; to assure the effective operation of the school’s financial matters, particularly payment of accounts.
REPRESENTATIVE DUTIES:
- Makes journal entries to transfer monies to appropriate accounts
- Prepares appropriate financial reports
- Balances statements
- Keys appropriate information to maintain accurate records
- Maintains appropriate records pertinent to approved budget
- Receives and routes all incoming communication in appropriate manner
- Plans and completes work on a timely basis
- Consistently displays self-discipline
- Cooperates with staff, both certified and classified
- Promotes job and loyalty to organization by actions which indicate a spirit of pride for the job and the organization for which employed
- Demonstrates loyalty and dedication to the purposes and goals of the district and school
- Is consistently responsible and displays an attitude of honesty and credibility
- Eliminates personal business transactions during work hours
- Is neat and appropriately dressed
- Maintains desk and work area in a neat and organized manner

- Handles the dissemination of Purchase Orders and all related operations

- Reconciles all records related to closing of a fiscal year and closes year

- Utilizes time appropriately and maintains good attendance
- Perform all other duties as assigned by administrator
KNOWLEDGE AND ABILITIES
KNOWLEDGE OF THE FOLLOWING:
- Advanced clerical accounting principles and techniques involved in financial record keeping, monitoring and control
- Estimating, projecting and extending financial and statistical data
- Preparation of financial statements and comprehensive accounting reports
- Applicable sections of Kentucky Administrative Regulations and other applicable laws, rules and regulations
- Oral and written communication skills
- Interpersonal skills using tact, patience and courtesy
- Modern office practices, procedures, and equipment
- Telephone techniques and etiquette
- Operation of a computer terminal and other office equipment
- Basic math
ABILITIES:
- Perform complex and advanced-level accounting duties in the maintenance of assigned accounts
- Perform responsible record-keeping duties with a high degree of skill and accuracy
- Verify, balance and adjust accounts
- Process and record accounting transactions accurately
- Prepare financial statements, profit and loss statements, and other technical financial reporting documents
- Learn, interpret, apply and explain rules, regulations, policies and procedures related to school district accounting
- Operate office machines including computer equipment, personal computer, accounting software and peripherals
- Add, subtract, multiply and divide quickly and accurately
- Understand and follow oral and written directions
- Establish and maintain cooperative and effective working relationships
- Meet schedules and timelines
- Work confidentially with discretion
- Communicate effectively both orally and in writing
- Complete work with many interruptions
- Type at an acceptable rate of speed
- Maintain records and prepare reports
PHYSICAL DEMANDS:

The work is primarily sedentary. The work requires the use of hands for simple grasping and fine manipulations. The work at times requires bending, squatting, reaching, with the ability to lift, carry, push or pull light weights. The work requires activities involving driving automotive equipment.
EDUCATION AND EXPERIENCE:
- Any combination equivalent to: high school diploma or G.E.D. Certificate as required by Kentucky law
- Must possess a valid Kentucky driver's license.
- Has met the requirements for criminal records check and child abuse and neglect check as specified by Kentucky State Law
- Four years of responsible secretarial experience involving the use of word processing and record-keeping software.
- Bookkeeping experience preferred
